How to Unpublish and Remove Content or Delete Files

How to easily unpublish, remove or delete your content. This guide covers each option and how to use them effectively.

Updated over a month ago

There are different ways to manage content in your platform, depending on whether you want to permanently delete it, remove it from a list, or unpublish it. This guide explains each option and how to use them effectively.

Choosing the right action depends on your needs:

  • Unpublish content to temporarily hide it without deleting it.

  • Remove content from a list if it’s still relevant but should not appear in a specific collection.

  • Delete content when you want it gone permanently.

Unpublishing Content

If you want to keep content to your disposal but prevent users from accessing it, the best approach is to adjust the publish date.

How to Unpublish Content:

  1. Open the Edit Content Form – Find and edit the content you want to unpublish.

  2. Set a Future Publish Date – Change the publish date to a date far in the future (e.g., 01-01-2030).

  3. Save Changes – The content will remain in your dashboard but will be marked as unpublished.

Why Use This Method?

  • Allows content to be re-published later without needing to re-upload it.

  • Keeps the content organized without appearing in published lists.

  • No risk of accidental permanent deletion.

Removing Content from a List

Sometimes, you may want to remove a piece of content from a specific list without deleting it completely. This is useful when the same content appears in multiple lists but should no longer be included in one of them.

How to Remove Content from a List:

  1. Go to the Content List – Find the list where the content is currently displayed.

  2. Click the Red Minus Symbol (-) – This option allows you to remove the content from the list.

  3. Check for an Error Message – If the content is only associated with one list, this function will not work, and you will see an error message.

    • To resolve this, first associate the content with another list before removing it from the original list.

Key Considerations:

  • Removing content from a list does not delete it. The content will still exist in other lists where it is associated and your Media Library.

  • If content is only in one list, it cannot be removed. You must add it to at least one other list before using this function.

Deleting Content

If you no longer need a piece of content and want to remove it permanently, follow these steps:

  1. Go to the content you want to delete – Navigate to the specific content item within your dashboard.

  2. Open the Edit Content Form – Click on the content to access its editing options.

  3. Click the Delete Button – In the top-right corner of the Edit Content Form, you will see a Delete button.

  4. Confirm the Deletion – A confirmation pop-up will appear. Read the warning carefully before proceeding.

Important Notes:

  • Deleting content is permanent. Once deleted, you will no longer be able to access it.

  • If the content is deleted, it will be removed from all lists and will no longer be accessible in the CMS.

  • If you need the content again, you must re-upload it. Deleting content does not send it to a trash bin or an archive; it is completely removed from your account and you are not able to access it again.

Deleting files from the Media Library

It is also possible to delete files from the Media Library. This is only possible if files are not considered content (video, image or audio).

How to delete files from your Media Library:

  1. Go to the Media Library – Click on Media library in the left menu panel.

  2. Find the File to Delete – Search for the media file

  3. Delete the File – click on the bin icon in the image of the file to delete it. Confirm removal to permanently delete it from your account.

Note: If the file you try to delete is in fact linked to content, an error message will show that the action is not allowed. you will then have to follow the instructions on deleting content as explained earlier in this article.

Deleting media files is irreversible. If you delete a file from the Media Library, you cannot recover it unless you re-upload it.
